1. Entering Lead into Follow Up Boss

The most efficient way to convert leads into showings is to keep them organized using the CRM system follow up boss.

Follow Up Boss has two ways to enter a lead into the system: Manually and Automatically.

Option A - Manual Entry

For Manual Entry, after entering the client’s contact information, add the inquiry address in the contact’s address section and adding the website source, initiate the action plan: 

“FGR | ALL AGENTS - Rental (Manual Entry) Initial Inquiry”

Action Plan:

  • Automatic initial text

  • 3 Direct emails

  • 3 task reminder to text

  • If lead does not respond in 7 days, automatically moved to Trash stage

 

Option B - Automatic Entry

For automatic entry, client’s contact information, lead source and inquiry address populates automatically in FUB.  Action Plan can start automatically. 

***Please schedule a time with Fulton Grace staff to properly set up.  Automatic action plans need an administrator to authorize

***Please note, if lead is already in Follow UP Boss as a contact under any agent, the automatic process will NOT work.  You then must manually enter in lead as demonstrated in Option A

2. Showing lead several listings

Once a lead replies back either through text or email, you may want to show several listings to this lead. Showing more listings may increase your chance in closing! 
In order to show several listings, you will need to know their criteria.  Upon request Fulton Grace staff can create an Apartment Search Criteria Form - See example here

Once you are in receipt of the completed form, you can send the lead several listings that meet that criteria and schedule showings for several listings including the listing they initially inquired about.

After sending the client several listings, ask “What listings they would like to see?’  Once you have scheduled several listings to show, make sure to send the client an Appointment Request through Follow Up Boss and set task reminders to continue to follow up with client for feedback, application request or to send updated listings.
