Showing Apartments Checklist
HAVE THE TENANT(S) OF THE APARTMENT BEEN PROPERLY NOTIFIED?
In the showing instructions for some company listings, tenant’s contact information is provided. Please notify the tenant(s) with 48 hour notice that you will be showing their apartment. Give a specific day and time. If you want to show an listing with less than 48 hour notice, please get in writing via email or text from the tenants confirming that it is ok for you to show the apartment
For listings where the tenant’s information is not provided, for example, MLS listings, it is the designated agent’s responsibility to notify the tenants about any showings.
HOW DO YOU ACCESS THE APARTMENT?
In the showing instructions for company listings, you will be provided detailed information regarding apartment access. Please read instructions carefully, they will vary between properties.
If the keys are in our offices, please check your email subfolder “KEYS” to see if the keys are available for pickup prior to going to the office. Sorry Keys cannot be reserved.
If the property is a MLS listing or a Fulton Grace Agent Listing, most likely the agent will provide you access to instructions or meet you at the property for your schedule showing
WHAT TO DO WHEN SHOWING THE APARTMENT?
Prior to entering the apartment, please knock and wait for any tenants to open the door, regardless if you have keys. Always knock even if the apartment is listed as vacant on fultongrace.com
When opening the apartment, announce yourself loudly “that you are an agent from Fulton Grace here to show the apartment”.
If any bedroom doors are closed, please repeat the process of knocking and announcing yourself when entering.
For occupied listings, do not leave your clients unaccompanied.
Please leave the apartment in the same condition as you entered the apartment. Meaning, turn-off any lights that were not on when you entered the apartment, close any doors that were closed when you entered the apartment, lower any blinds that may have been raised during the showing.
LOCK THE DOOR when you leave the apartment. Please make sure that you only lock the same locks that you opened when entering the apartment.

KEY RETURN
If you used keys from a Fulton Grace Realty office, please return the keys within 3 hours of checkout
If you accessed the listing by lockbox, please return the keys immediately to the lockbox and scramble the code if possible

In the access notes on fultongrace.com, you may see the following terms:
KIO - Keys in Office
KH - Keys at Halsted
KW - Keys at Western
LBX - On Lockbox
KWDM - Keys with door man
In order to check out keys from the office located at 2901 N Halsted or 1448 N Western, please contact Fulton Grace’s staff to schedule training on Key Watcher, Fulton Grace’s key tracking system.
